Overhead setup and defaults

Overhead setup stores your business baseline: costs that apply across the year, not just to one job. Quotes use this profile to allocate a fair share of those costs to each job, based on the method you choose on the quote (by job days, by hours, or a flat fee per job).

What to enter

  • Insurance — annual liability, van, and tools premiums.
  • Pension and time off — pension contributions, sick days and holiday days with rates (so recovery can be built into pricing).
  • General tools and miscellaneous — annual tool spend and a label for a generic overhead line.
  • Travel defaults — fuel rate per mile and optional vehicle markup.
  • Default labour — default cost and markup per hour when you add labour lines (you can override per line).
  • Default markups — material and tool markups you can still override on each quote line.
  • Working pattern — working days per year and hours per day (used for spreading overhead).
  • VAT — whether you are VAT registered and your VAT number; when registered, VAT can appear on quotes and invoices where applicable.
  • Default quote validity — how many days a new quote is valid by default (you can change it on each quote).

Default labour cost, material markup, and tool markup on this page apply when you add quote lines without choosing a library preset. Manage named presets under Clients, materials, and quote presets.

Save your profile when you are done. Changes apply to new and edited quotes that use those defaults.
