Creating and editing quotes

Open New quote to start. The form is split into steps: Client & job, Labour, Travel, Materials, Tools & other, then Review.

Before you start

You must be email verified to create a quote. On the Free plan, you must also have remaining quote allowance (see the dashboard).

Client and job

Pick a saved client from your library or enter new details; you can save them to the library for next time. Enter the job title, description, optional notes, and validity date. For the client address, use UK address lookup or type the address manually. Set how you want to allocate overhead — by estimated job days, by total labour hours, or a flat fee — and provide the values the form asks for.

Staged payments on the quote (optional)

On the review step you can attach a payment schedule (preset or custom stages) so the client sees deposit and milestone amounts on the PDF when enabled. Manage reusable presets under Payment schedules — see Payment schedule presets.

Target margin (optional)

You can enable a target margin percentage. The system uses it to help align the quote total with the margin you want; review the final figures on the last step.

Labour

Add one or more labour lines: either total hours per person or days on site × hours per day (with staff count), cost per hour, markup, and preset or custom rates. Your default hours per day comes from Overhead setup (working hours per day); you can override it per line. Employee vs contractor affects NIC-related calculations.

Travel

Enter vehicles, one-way distance in miles, and rate per mile. Return travel is accounted for from the one-way distance you enter (the app doubles the distance for the round trip in the calculation).

Materials

Add lines manually or load from library if you saved materials under Presets → Materials. For each line, set quantity, unit, and cost. Mark lines as customer supplied when the client provides the materials so markup does not apply where it should not.

Tools and other

Tool lines can be charged per day, hour, week, fixed for the job, or as a percentage of the job. Add miscellaneous lines for anything else that should sit in the quote total.

PDF options

Choose whether the PDF shows line items or a total only line, and set the wording for a single total line if you use total-only mode.

Quote statuses

Quotes move through statuses such as:

  • Draft — work in progress.
  • Sent — shared with the client (when you mark it sent or use Email client).
  • Accepted / Declined / Expired — final outcomes from the client or validity date.

Sending, portal link, and duplicate

When a client email address is present, use Email client on the quote detail page (see Email clients and delivery tracking). The detail page also shows a client portal link you can copy — see Client portals. Use Duplicate to copy the quote as a new draft for a similar job.

A company logo and terms and conditions can appear on PDF exports via Settings → Business.
